Job Summary:
Meet is seeking an experienced and highly organized Administrative Assistant to provide critical support to dynamic teams. This role will be responsible for managing day-to-day administrative functions, coordinating schedules, handling correspondence, and ensuring smooth operations in a fast-paced environment. The Administrative Assistant will work closely with leadership and other departments to facilitate effective communication and project management across teams involved in developing cutting-edge small molecules and biotherapeutics for cancer treatments.
Key Responsibilities:
- Provide administrative support to senior management and other team members, including scheduling meetings, maintaining calendars, and coordinating travel arrangements.
- Organize and prioritize daily tasks to ensure smooth operations and alignment with departmental goals.
- Prepare, proofread, and edit internal and external communications, including emails, presentations, and reports.
- Manage incoming phone calls, emails, and other communications, ensuring they are handled in a timely and professional manner.
- Coordinate and arrange logistics for meetings, conferences, and events, ensuring all materials and equipment are prepared and available.
- Track and maintain office supplies, order inventory, and manage office equipment to ensure efficiency.
- Maintain confidential information and adhere to company policies on data security and privacy.
- Support the execution of departmental projects by assisting with research, data entry, and document management.
- Collaborate with cross-functional teams to ensure that projects and tasks are completed on time.
- Assist with ad-hoc administrative duties as needed to support various departments in the organization.
Requirements:
- High School Diploma required; Associate’s or Bachelor’s Degree in Business Administration, Communications, or a related field is preferred.
- At least 2-4 years of experience in an administrative support role, preferably in the biotech or pharmaceutical industry.
- Experience with administrative functions in a research, clinical, or laboratory environment is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office equipment.
